Managing Recurring Appointments

Make scheduling repetitive sessions effortless with Therasee's recurring appointment feature. This guide walks you through setting up and managing regular appointments for ongoing client work.

Creating a Recurring Appointment

  1. Navigate to your Calendar (third tab in the sidebar)

  2. Click on your preferred time slot or use the + New appointment button

  3. Fill in the appointment details (client, service, date, time, etc.)

  4. Under Repeats, click the dropdown menu (default shows "Does not repeat")

  5. Select your preferred recurring pattern:

    • Daily

    • Every weekday (Monday to Friday)

    • Weekly on a specific day (e.g., "Weekly on Monday")

    • Every 2 weeks on a specific day

    • Monthly on a specific date (e.g., "Monthly on the 17th")

    • Custom (for more complex patterns)

  6. Complete the appointment creation by clicking Create appointment

Important: The recurring pattern cannot be changed once an appointment series is created. If you need a different pattern, you'll need to delete the series and create a new one.

Viewing Recurring Appointments

To see if an appointment is part of a recurring series:

  1. Click on any appointment in your calendar

  2. In the side panel that opens, look directly under the appointment date and time

  3. For recurring appointments, you'll see text showing the pattern (e.g., "Repeats weekly on Monday, Wednesday")

Modifying Recurring Appointments

When you need to make changes to a recurring appointment:

  1. Click on any appointment in the series to open the side panel view

  2. Click the Options button at the bottom of the panel

  3. Select Edit from the menu

  4. Make your changes to the date, time, or other details (note that the recurring pattern itself cannot be modified)

  5. When prompted, choose one of the following options:

    • Only this appointment: Changes apply to just this instance

    • This and future appointments: Changes apply to this and all future occurrences

    • All appointments in series: Changes apply to the entire series

  6. Click Save changes

Cancelling Individual Appointments

To cancel a single appointment:

  1. Click on the appointment in your calendar

  2. In the side panel, click the Status dropdown and select Cancelled

  3. Choose your notification preferences (email/SMS) and add an optional message

  4. Click Confirm

Deleting a Recurring Series

To delete an entire series of recurring appointments:

  1. Click on any appointment in the series

  2. Click the Options button at the bottom of the panel

  3. Select Delete from the menu

  4. When prompted, select All appointments in series

  5. Confirm your choice

Managing Reminders for Recurring Appointments

By default, appointments use your practice's default reminder settings. You only need to customize these when you want different reminder behavior for specific appointments:

  1. While creating or editing a recurring appointment, expand the Reminders section

  2. To customize reminders:

    • Enter a number in the first field (e.g., 24)

    • Select the time unit from the dropdown (Hours, Days)

    • Choose the delivery method (Email, SMS, or both)

  3. Click + Add reminder to set additional reminders if needed

  4. Use the Remove link to delete any unwanted reminders

Tips for Managing Recurring Appointments

  • Check for scheduling conflicts: The system will alert you if an appointment falls during unavailable time

  • Block time between sessions: Create recurring block time appointments for preparation or breaks

  • Use appointment-level reminder settings: Customize reminders for specific recurring clients

  • Remember patterns can't be changed: Choose your recurring pattern carefully as it cannot be modified after creation

  • Use the Options menu: Access delete functionality to remove an entire series if needed
