There may be times when you need to modify appointment details—whether that's rescheduling a session, adjusting the duration, or updating other information. Therasee makes it easy to edit appointments while maintaining the integrity of your schedule and keeping clients informed of any changes.
Accessing the Edit Function
There are three ways to access an existing appointment for editing:
From the Calendar View
Navigate to the Calendar tab in the main sidebar (third option)
Find and click on the appointment you wish to edit
When the appointment details panel opens, click the Options button located at the bottom left of the panel
Select Edit from the menu that appears
From the Sessions Table
Go to the Sessions tab in the main sidebar (first option)
Locate the appointment you need to edit in the list
Click on the appointment to open the details panel
Click the Options button at the bottom left and select Edit
From Client Profile
Navigate to the Clients tab in the main sidebar (second option)
Select the relevant client
Click on the Appointments tab within their profile
Find and click on the appointment you wish to edit
Click the Options button at the bottom left and select Edit
Making Changes to an Appointment
Once you've opened the edit panel, you can modify the following details:
For Client Appointments:
Date and time: Change when the appointment will occur
Duration: Adjust how long the session will last
Location: Update whether the session is in-person, online, telephone or at a specific venue
Reminder settings: Modify when and how reminders are sent
Invited contacts: Add or remove additional participants(Expand "Participants & services section to edit)
For Block Time:
Date and time: Update the start time
End time: Adjust when the block ends
Description: Modify the purpose or notes for the blocked period
What Cannot Be Changed
Please note that certain fundamental aspects of an appointment cannot be modified after creation:
The client associated with the appointment
The service type (e.g., Initial Assessment, Follow-up Session)
The practitioner assigned to the session
The recurring pattern
If you need to change any of these elements, you'll need to cancel the existing appointment and create a new one.
Saving Your Changes
After making your edits:
Review all changes carefully
Click the Save changes button at the bottom of the edit panel
Managing Notifications for Edited Appointments
When you save changes to a client appointment, Therasee will prompt you about sending notifications:
A popup will appear asking if you want to notify the client
Select your preferred notification method (Email/SMS)
Optionally add a custom message explaining the change
Choose whether to send or skip notifications
This notification system ensures your clients are kept informed of any changes to their scheduled appointments.
Best Practices for Editing Appointments
Edit well in advance when possible to give clients adequate notice
Add a personal note in the notification message to explain any changes
Check for scheduling conflicts before saving changes
Verify reminder settings after changing dates/times
