Getting Started

  1. Open the note editor from any entry point (see How to Create a Note for all the ways to create a note)

  2. In the editor toolbar, look for the microphone icon on the right-hand side

How to Dictate

  1. Click the microphone icon in the toolbar

  2. Your browser will ask for permission to access your microphone - click

    allow

  3. The microphone icon will briefly turn blue while speech recognition initialises

  4. Once ready, the icon turns red with a pulsing animation, indicating it is actively listening

  5. Begin speaking naturally. Your words will appear in the editor as you talk

  6. When you are finished, click the microphone icon again to stop dictation

What You Will See

While you speak: Interim text appears in grey and italic as your words are being processed. Animated dots indicate that transcription is active.

When a sentence is recognised: The interim text is replaced with the final transcribed text in normal formatting.

Punctuation: is added automatically based on your natural speech patterns and pauses, when you stop the dictation

Best Practices

Environment

  • Use a quiet space with minimal background noise

  • If using a laptop, consider a headset or external microphone for better accuracy

  • Close windows or doors to reduce ambient noise

Speaking Style

  • Speak at a normal, conversational pace

  • Pause briefly between sentences to help the system process accurately Avoid speaking too quickly or mumbling

  • You do not need to say "full stop" or "comma" as punctuation is handled automatically

Workflow Tips

  • You can start and stop dictation as many times as you need within the same note

  • Dictate a section, then review and edit before continuing Speech-to-text works alongside manual typing, so you can switch between the two freely

  • If you stop speaking for an extended period, dictation will automatically pause

  • Privacy and Security

Security & Privacy Your privacy is fully protected when using speech-to-text: We operate a strict no-logging policy. No audio is recorded, stored, or retained at any point during transcription -

Audio is processed in real time and immediately discarded after the text is returned

Using speech-to-text is as private and secure as typing directly into the platform.
All processing runs through Microsoft Azure's enterprise-grade infrastructure with full GDPR and HIPAA compliance

  • Speak more slowly and clearly
