Streamline Your Billing Process and Receive Payments Efficiently

Therasee's payment system simplifies managing billing and payments from clients. Follow these steps to review your billing settings and create invoices automatically or manually.

Review Your Billing Settings

Before creating invoices, it’s essential to review and configure your billing settings.

Steps to Review Billing Settings:

1. Navigate to Billing Settings:

- Go to Settings > Practice Settings > Billing.

2. Online Payments:

- Connect your Stripe account to receive payments directly to your bank account. Clients can only pay online if Stripe is connected. For more information, refer to this help article.

3. Billing Address:

- This address will be displayed on the invoice.

4. Invoice Settings:

- Define default settings such as the title, note, and due date of invoices. These can be changed manually when creating invoices.

5. Invoice Generation:

- Decide whether to generate invoices automatically when scheduling an appointment or manually.

Creating Invoices Automatically

To automate your invoicing process, set the invoice generation to automatic in the billing settings.

Steps to Create Invoices Automatically:

1. Schedule an Appointment:

- When you schedule an appointment, an invoice will be generated automatically based on the appointment details.

2. Automatic Email Notification:

- An email with the invoice will be sent to the client automatically.

Creating Invoices Manually

Therasee also allows you to create invoices manually, giving you greater control. There are three ways to create an invoice manually:

Methods to Create an Invoice Manually:

1. From a Scheduled Appointment:

- Click on the scheduled appointment in the calendar to open the appointment details modal. Click the Options button and select "Create invoice" from the dropdown.

2. From the Billing Page:

- Navigate to "Billing" from the sidebar and click the "Create invoice" button at the top right. Invoices created this way are not associated with an appointment.

3. From the Client Profile:

- Go to the client's profile, select "Billing" from the tabs, and click the "Create invoice" button. These invoices are also not associated with an appointment.

Filling in Invoice Details:

After clicking "Create invoice," a modal will appear asking for invoice details. Fill in the necessary information, including the note field, which will appear at the bottom of the invoice. If you want to send an email to the client with the invoice, check the "Send an email to client" box.

Viewing an Invoice

You can view generated invoices in two ways:

Viewing Invoices:

1. From the Appointment Modal:

- If the invoice is associated with an appointment, click on the appointment in the calendar and open the appointment details modal. The generated invoice will be attached. Click on the invoice name to open it.

2. From the Billing Tab:

- Click on the Billing tab from the sidebar to see all generated invoices listed in a table. Click on the invoice name to open it.

Sharing an Invoice with a Client

To share an invoice with a client, open the invoice from any of the locations mentioned above to view the preview.

Steps to Share an Invoice:

1. Open Invoice:

- Click on the invoice name to view the invoice preview.

2. Share the Invoice:

- Click on the three dots in the top right corner and select "Share" from the dropdown. A modal will open. Fill in the details, including a message for the email body. The invoice will be sent as an email attachment.
