Automated invoicing in Therasee simplifies the billing process, ensuring timely payments and reducing administrative tasks. Follow these steps to set up and manage automated invoicing and automatic invoice notifications for your practice.




Step 1: Review Your Billing Settings

Before setting up automated invoicing, it's essential to review and configure your billing settings.

Steps to Review Billing Settings:

  1. Navigate to Billing Settings:

    • Go to Settings > Practice Settings > Billing.

  2. Configure Online Payments:

    • Connect your Stripe account to receive payments directly to your bank account. Clients will only be able to pay online if Stripe is connected. For more information, refer to the help article on setting up Stripe.

  3. Enter Billing Address(Optional):

    • You can enter your billing address, which will appear on all invoices. This field is optional, so if you do not want to disclose your home or business address, you can leave it blank.

  4. Set Invoice Defaults:

    • Configure default settings for invoice titles, notes, and due dates. These settings will be used for all automatically generated invoices but can be changed manually if needed.

Step 2: Enable Automated Invoice Generation

To streamline your billing process, you can enable automated invoice generation, ensuring invoices are created automatically when appointments are scheduled.

Steps to Enable Automated Invoicing:

  1. Access Invoice Generation Settings:

    • In the billing settings, locate the Invoice Generation section.

  2. Set to Automatic:

    • Select the option to generate invoices automatically when appointments are scheduled.

Step 3: Enable Automatic Sending of Invoices

After setting up automated invoice generation, ensure that invoices are sent to clients automatically.

Steps to Enable Automatic Invoice Sending:

  1. Navigate to Notifications Settings:

    • Go to Settings > Practice Settings > Notifications.

  2. Enable Automatic Invoice Sending:

    • Locate the setting for automatic sending of invoices and ensure it is turned on.

Step 4: Scheduling Appointments with Automated Invoicing

With automated invoicing enabled, scheduling an appointment will automatically generate and send an invoice based on the appointment details.

Steps to Schedule an Appointment:

  1. Navigate to the Calendar:

    • Go to the Calendar and click on a timeslot or the Plus button to create an appointment.

  2. Enter Appointment Details:

    • Fill in the appointment details, including the client, date, time, and service type.

  3. Save the Appointment:

    • Click Save to schedule the appointment. An invoice will be automatically generated and sent to the client.

  4. Client Notification:

    • The client will receive an email notification with the invoice attached.

Managing Automated Invoices

While automated invoicing simplifies the process, you may need to view or edit invoices occasionally.

Viewing and Editing Invoices:

  1. Viewing Invoices:

    • To view an invoice, click on the appointment in the calendar or access the billing tab from the sidebar. Click on the invoice name to open it.

  2. Editing Invoices:

    • To edit an invoice, click the more options icon next to the invoice and select Edit. Make the necessary changes and save the invoice.

Sharing Invoices Manually

If needed, you can also share invoices manually with clients.

Steps to Share Invoices:

1. Navigate to Billing:

• Go to the Billing tab from the sidebar.

2. Share the Invoice:

• Click the more options icon next to the invoice you want to share and select Share. Fill in the details, and the invoice will be sent to the client via email.
