Using Zoom with Therasee

How to connect your own Zoom account, use it for online appointments, and remove it.

Written by Nick

Connect your own Zoom account and Therasee creates a Zoom meeting for each online appointment you hold on Zoom. Clients get the Zoom link in the same places they get a Therasee video link.

Before you start

  • You need your own Zoom account. Any Zoom plan works, including the free plan. Zoom's free plan limits meetings to 40 minutes, so check your plan covers the length of your sessions.

  • Each practitioner connects their own Zoom account. If you work in more than one practice on Therasee, connect Zoom in each one.

Adding Zoom

  1. In Therasee, go to Settings › Integrations.

  2. Under Video meetings, select Connect on the Zoom card.

  3. A Zoom window opens. Sign in to the Zoom account you want to use, then select Allow.

  4. The window closes. The Zoom card now says Connected and shows the email of the Zoom account you used.

Zoom is now in your list under Online Video Sessions. To use Zoom when clients book online, select Set default next to Zoom.

If Zoom doesn't connect, see Troubleshooting below.

Using Zoom

Booking an appointment on Zoom

Choose an Online location, then choose Zoom as the video platform. When you save, Therasee creates the meeting in your Zoom account. The link goes into the confirmation email and text, reminders, the client portal and calendar invites.

If Zoom is your default, appointments clients book online get a Zoom meeting too.

What the meeting is called

The client's initials and your name, for example DJ · Appointment with Alex Morgan. For a couple it shows both sets of initials, for example JB & SW · Appointment with Alex Morgan. The client's full name and the service are never sent to Zoom.

Recurring appointments

A recurring appointment is one Zoom meeting with one link for every session. Each session shows at its own date and time in your Zoom calendar.

Joining the session

Select Join call on the appointment in Therasee. You start the meeting as the host.

The waiting room is always on for meetings Therasee creates. Your client waits until you let them in, so nobody can join while your previous session is still running.

Everything else, such as passcodes and recording, follows the settings in your own Zoom account.

When appointments change

  • Moved or made longer: the Zoom meeting moves too. The link stays the same.

  • One session of a recurring appointment cancelled: if you cancel it before it starts, it's removed from Zoom. Once it has started, it stays in your Zoom calendar.

  • Appointment deleted or cancelled: the Zoom meeting is deleted.

  • Changed to another practitioner: a new Zoom meeting is created in their Zoom account, or the appointment uses Therasee video if they haven't connected Zoom.

Removing Zoom

From Therasee

  1. Go to Settings › Integrations.

  2. On the Zoom card, select Disconnect.

  3. Read the message, then select Disconnect to confirm.

From Zoom

  1. Sign in to your account at zoom.us and open the App Marketplace.

  2. Go to Manage › Added Apps.

  3. Find Therasee and select Remove.

What happens when you remove Zoom

  • Therasee stops creating Zoom meetings for you, and Zoom is taken off your video platforms list.

  • If Zoom was your default, Therasee video becomes your default, including for appointments clients book online.

  • Appointments already on Zoom keep their links, and clients aren't emailed about it.

  • Therasee can no longer update those Zoom meetings. If you move or cancel one, change it in Zoom too, or switch the appointment to another video platform.

  • Meetings already created stay in your Zoom account. Delete them in Zoom if you no longer need them.

Your data

What Therasee keeps while Zoom is connected

  • Your Zoom account's email address and Zoom user ID.

  • The access keys Zoom gives Therasee, stored encrypted.

  • For each appointment on Zoom, the Zoom meeting ID and join link.

What Therasee sends to Zoom

Only what the meeting needs: its title (the client's initials and your name), date, start time, length, time zone, how it repeats, and the waiting room setting. No client names, contact details or clinical notes are sent.

After you remove Zoom

  • Therasee deletes the access keys, your Zoom user ID and the Zoom email it kept.

  • If you disconnect in Therasee, Therasee also asks Zoom to end its access straight away.

  • The meeting ID and link stay on appointments already booked, so those links keep working.

Troubleshooting

The Zoom window doesn't open

Your browser may be blocking pop-ups. Allow pop-ups for Therasee, then select Connect again.

The Zoom card says "Reconnect required"

Zoom has stopped accepting Therasee's connection. This happens if the connection isn't used for 90 days, or if Zoom stops accepting it for another reason. Select Reconnect. Links already sent to clients still work.

"We couldn't create the Zoom meeting" when saving

Reconnect Zoom in Settings › Integrations, or choose another video platform. The appointment isn't saved until it has a working link, so a client is never sent a broken one.

A client booked online but the appointment uses Therasee video

If Zoom can't be reached when a client books, the booking still goes ahead with Therasee video. Check the Zoom card in Settings › Integrations, and reconnect if it asks you to.

You joined as a participant instead of the host

Join from Join call in Therasee rather than from the link in an email. Only the practitioner whose Zoom account holds the meeting starts it as host.
